Consents - further information

This is to consent to your child receiving over the counter medication (paracetamol, ibuprofen, antihistamine) at school or on trips, should they require it. We urge all parents to fill this in so as to assist our medical administrator should your child be in a position of requiring this medication. This consent will be uploaded instantly to your child’s account and will act as written permission from yourself.

Biometrics authentication is the automatic recognition of a living being using suitable body characteristics. There are many different biometric features that can be used for authentication purposes (finger image, iris, retina etc) and at Croxley Danes School we use Impact Biometric authentication for our cashless catering system which can be accessed via a student's fingerprint. 

Student, parents and staff can rest assured that the fingerprint images cannot be used by any other source for identification purposes. The system uses an image of the fingerprint to create a mathematical algorithm and then discards the image, leaving only numbers remaining (the mathematical algorithm) which cannot be reinterpreted back into a finger image. 

Why do you need to take my child's finger image?

By taking an image of your child's finger image we can turn this information into a digital signature.

Can finger images be used by any other agency?

No, the software we used turns your child's finger image in to a mathematical algorithm. The image of the finger is then discarded. The information that is stored cannot be used to recreate an image of the child's finger.

What happens when my child leaves the school?

When a student leaves school all data can be deleted very easily.

How does it work?

If consent has been provided via your child's Arbor account, your child will be invited to have their finger print scanned by placing his/her finger on the scanner at school on their first day.  The software matches their finger image with the unique digital signature held in the database. 

What happens if I do not wish to consent?

We highly recommend that your child uses Impact Biometric authentication as the most efficient method of using our Cashless Catering, it also enables them to use the cashloader machines situated within the canteen (accounts can also be topped up via ParentPay online). However, should you not wish to consent, it is still possible for your child to use the canteen with assistance from our finance department. 

By consenting to Extra Curricular participation, you agree to your child participating in extracurricular activities both during and after school. It will be the responsibility of your child to let you know that they are staying behind for clubs. Our provision will be published on a half termly basis and circulated to parents and students with start and finish times and locations, it is also available to download via the school website here.

By consenting to 'Out of School Trips' via your child's Arbor account, you consent to your child attending local trips (trips taken within our 'Local Learning Area') that take place within the school day. You will always be notified that your child will be leaving the school premises for trips of this kind but you will not be asked for additional consent once this has been provided via Arbor.  If for any reason you don’t wish your child to participate in a particular trip you have been notified about, you can request this by contacting the school. For trips that are further afield or take place outside of the normal school day we will continue to ask for trip-specific consent. 

Occasionally, we may take photographs of the students in our Trust. We may use these images in our school prospectus or in other printed publications that we produce, in displays, on our X or Instagram feed and on our school and Trust website. We may also make video or webcam recordings for school-to-school conferences, monitoring or other educational use. Video of events or films made specifically for promotional purposes may also be made and posted on our school or Trust website.

Our policy is to avoid posting photographs alongside a student’s full name if this means a student can be identified, unless prior consent has been sought.  

Occasionally, we also send images to the news media, or our school may be visited by the media who will take their own photographs or film footage (for example, of a visiting dignitary or other high profile event). Students will often appear in these images. The news media may use the images in printed publications (including local or national newspapers), on televised news programmes, on their website, and store them in their archive. They may also syndicate the photos to other media for possible use, either in printed publications, on websites, or both. When we submit photographs and information to the media, we have no control on when, where, if or how they will be used.

To comply with the GDPR data regulations, we need parental consent before we can use any photographs or recordings of your child.

1. The consent given via your child's Arbor account is valid for the period of time the student attends this school. Please contact the school in writing if you wish to withdraw or change your consent at any time and we will be happy to update your preferences.

2. The images we take will be of activities that show the student and the school in a positive light e.g. drama and musical performances, sports, plays, awards and prize-giving.

3. Embarrassing or distressing images will not be used. The images will not be associated with sensitive issues or student welfare.

4. We may use group or class photographs or footage with very general labels, such as 'science lesson'.

5. We will only use images of students who are suitably dressed, to reduce the risk of such images being used inappropriately.

6. We will make every effort to ensure that we do not allow images to be taken of any students for whom we do not have permission or who are 'at risk' or disallowed from having their photographs taken for legal or social reasons.

7. We ask students who do not have consent to having their photographs taken to politely remind staff of this fact in the event that a camera is brought out during a lesson or activity.

8. We will take all reasonable measures to ensure the images are used solely for the purposes for which they are intended. However, we cannot guarantee that this will happen and take no responsibility for the way images are used by other websites or publishers, or for any consequences whatsoever arising from publication. Please note that websites can be viewed throughout the world and not just in the United Kingdom where UK law applies. In giving your consent, you understand that images may be used in printed and electronic form.

(Please be informed that once a student reaches the age of 13, they are responsible for providing their own consent and will be contacted via their Head of Year to do so at the time.)
